Core Objectives

• Attorney Assistance. Provide support to attorneys in the Family Law Department.
• Client Experience. Execute and meet project deadlines to support the client experience in the Family Law Department. 
• Firm Initiatives. Supports Firm initiatives by providing assistance with tasks and projects to other Paralegals. Execute other projects as directed by your Supervisor.

Attorney Assistance:

• Track litigation process and assist with management of case.
• Track case deadlines, reminders, and other necessary dates with tickle system.
• Prepare first drafts of necessary case pleadings.
• Execute workflow to ensure that incoming and outgoing mail is timely processed and delivered to necessary parties.
• Assist with case coverage during Attorney absences. Coordinate with other Attorneys to provide assistance to clients and outside counsel.
• Provide support to attorney for their marketing, CLE, professional and bar-related committees work and activities.

Client Experience:

• Execute the intake workflow for potential new clients by phone and/or email to schedule them for a consultation with the appropriate attorney, including conflict check and entry; tracking down previous consult forms and resolve questionable conflict issues; inform potential clients if Firm cannot represent; and promptly scan attorney consultation notes and save to Zola Suite Lead. 
• Execute workflow to open new client files.
• Maintain digital client files to include ensuring matter contacts are up to date.
• Maintain working knowledge of the client file. 
• Provide information to clients (verbally and in writing) regarding status, track pending matters and documents. Provide information regarding procedures and explain processes.
• Meet with clients to review and sign documents as needed.
• Work directly with clients to complete necessary case-related forms and pleadings.
• Assist clients by troubleshooting questions/problems when Attorney unavailable.
• Take client phone calls, listen, and provide procedural information (gatekeeper duties).
• Schedule office and telephone appointments with attorneys.

Firm Initiatives:

• Provide coverage for other Paralegals during absences or overloads.
• Miscellaneous related tasks/projects as assigned by the Director Legal Support Services & Development or Leadership or Management Team.
• Support other department staff to ensure that all goals and objectives are met in a timely manner.
• Enter time into billing system, as appropriate.
• Participate, when appropriate or necessary, in internal education opportunities, developmental trainings, and department meetings.

Experience:

• 3-5 years assisting attorneys practicing Oregon and/or Washington Family Law.
• Position prefers, but does not require, a bachelor’s degree. 
• Preference will be given to a candidate with experience in a private law firm.

Necessary Knowledge, Skills & Abilities:

• Knowledge of local and state filing rules, procedures, and terminology.
• Ability to exercise and maintain a high level of confidentiality, discretion, judgment, and professionalism.
• Dedicated, positive, committed team player, but with ability to work independently as well.
• Must be detail-oriented, able to think critically and set high standards for accuracy in a high-volume, fast-paced environment
• Ability to proofread and edit spelling, punctuation, grammar and required language (content).
• Strong interpersonal, organizational, analytical, decision-making, and problem-solving skills are required with adaptability and the ability to change plans as needed. 
• Possess effective and professional communication abilities, both verbally and in writing, in order to accurately and efficiently execute projects.
• Ability to manage multiple projects by self-prioritizing and follow-through in a fast-paced team environment and remain calm under stress.
• Must exhibit commitment to integrity and excellence.
• Comfortable developing interpersonal relationships with Attorneys and staff members. 
• Must have demonstrated experience with Microsoft Office Suite, including Word, Excel, Outlook, Teams.
• Comfortable with technology and able to quickly learn new tools to include: Word, Excel, Outlook, Teams, SharePoint, Power Point, Adobe, Metro Fax, Caret Legal, and Net Documents and e-discovery platforms, and transcription machine.

• Client Experience. Provide excellent care to our clients from the start of a case to the end, by executing and meeting project deadlines to support the client experience in the Family Law Department. 
• Firm Initiatives. Supports Firm initiatives by provide mentorship and training to Paralegals by coordinating and delegating projects as well as overseeing the outcomes.

Attorney Assistance:

• Provide case-management assistance including tracking case deadlines. 
• Drafting and preparation of necessary case-related pleadings  or other documents including Asset and Liability Statements, Mediation/Trial/Hearing Memorandums, demonstrative exhibits, Parent Evaluation Notebooks.
• Provide coverage for other Senior Paralegals during absences or overloads.
• Research and pull statutes, rules, cases, legislative histories, etc.

Client Experience:

• Maintain working knowledge of the status of discovery.
• Assist with case coverage during Paralegal/Senior Paralegal absences.
• Assist clients by troubleshooting questions/problems when Attorney is unavailable.
• Communicating directly with clients and other professionals, verbally and in writing, to assist in providing case-related documents.
• Working directly with clients to complete forms and pleadings.

Firm Initiatives:

• Providing support to assist with firm goals and objectives being met in a timely manner.
• Assisting your team members to prepare files to be closed, prepare post-judgment or post-agreement checklists for clients and Attorneys.
• Use program timers to accurate track time spent on project and enter time into billing system each day.
• Provide mentorship to Family Law Paralegals and Senior Paralegals.
• Assist in training and implementation of technology systems for Family Law Department (i.e., e-discovery platform).
• Participate in internal education opportunities, development trainings, and department meetings.
• Represent the Firm in legal and community events and activities.
• Participate in Firm committees, events, and socials.

Experience:

• Bachelor’s degree in business administration, communications, or a related field.
• Minimum of 5 years of Family Law experience with demonstration of necessary knowledge, skills and abilities.

Necessary Knowledge, Skills & Abilities: 

• Demonstrated ability to proactively and independently anticipate and attend to case needs and coordinate workflow with Attorneys and/or other team members.
• Experience which enables independent assessment of, and contribution to, the development of case strategy, including working independently and proactively come up with strategic moves and anticipation of next steps. 
• Specialized knowledge related to division of assets (real property, retirement, investments, stocks, life insurance, business formation documents, trust and estate documents, etc.) and the tax implications thereof.
• Experience reading and interpreting tax returns, K1s, and other asset statements.
• Knowledge of, and experience with, all stages of family law litigation and case-specific court processes and procedures, including local and state rules and terminology.
• Ability to adhere to established processes and procedures to collect, store, and maintain organized digital case files.

• High Quality Legal Work: Play an active role in managing assigned matters, producing timely and well-reasoned work product, while advancing cases efficiently in collaboration with partners, senior attorneys, paralegals, and staff.  Responsible for all substantive aspects of family law cases, including client counseling, discovery, motion practice, negotiation, mediation, and court appearances, with increasing independence as experience and demonstrated competence allow. 
• Professional Client Representation: Provide exceptional prompt and professional client services from consultation to the conclusion of each case. Keep clients informed by maintaining regular contact and communicating case progress and strategy with staff support.

• Manage family law matters by supporting senior attorneys handling more complex cases and by managing your own caseload as appropriate to your experience level.  
• Manage deadlines while following court rules and ethical obligations.   
• Develop case strategy independently and in collaboration with partners and senior attorneys as appropriate depending on experience level. 
• Conduct legal research and prepare memoranda on family law issues. Draft, review, and file pleadings, motions, declarations and settlement documents. 
• Review and analyze discovery materials, including financial documents. 
• Prepare clients for and participate in each stage of a family law case, including depositions, mediation, hearings, and trial. 
• Communicate effectively with opposing counsel, court personnel, and other professionals. 
• Work collaboratively with internal professionals such as paralegals and staff to manage cases efficiently and support firm operations. 
• Accurately record billable time and comply with firm billing and administrative practices. 
• Comply with all legal standards and regulations consistent with firm procedures and policies related to case management and firm administration. 
• Attend business development and networking functions with firm leadership and solo.  

Experience:

• At least 4 years’ experience practicing Family Law in Oregon.

Necessary Knowledge, Skills & Abilities: 

• Demonstrated knowledge and experience handling a heavy case load involving custody and parenting time, property division, spousal and child support. 
• Deposition, mediation and trial experience in family law matters, or have other meaningful litigation experience.  
• Must have an active Oregon State Bar membership. Washington State Bar membership, a plus.  
• Must possess excellent verbal and written communication skills.  
• Must be able to demonstrate experience providing exceptional client service, including the ability to build rapport with clients.  
• Must possess a growth mindset with outstanding analytical ability and research and writing skills.  
• Demonstrated interest in being part of an enthusiastic team who shares a commitment to firm and practice development, with the goal of providing clients with top-notch service.

• Client & Guest Experience: Ensure excellent experience for all firm guests and employees by providing timely support, assistance and completing tasks on time and as requested.
• Attorney and Staff Assistance: Work closely with all members of the Office Services Team in coordination with the other administrative and legal staff of the firm, to ensure timely completion of tasks and the provision of services and supplies, such that the Firm functions as efficiently and professionally as possible in performing work for our clients.

Client & Guest Assistance:

• Back up the front desk answering and routing calls to appropriate individuals through a multi-line phone system.
• Back up the front desk greeting in-person guests and directing them to the appropriate location within the office.
• Escort guests to conference rooms that must be accessed via the elevator.

Office Services: 

• Making coffee and maintaining beverage supplies.
• Sending and receiving mail (postage, collection, sorting, distribution, etc.); mail runs (including certified mail) as scheduled/required. 
• Collection and distribution of interoffice mail
• Stocking of supply cabinets (coordinating ordering of needed supplies with the Office Services Manager)
• Assist with meeting set up and clean up as necessary in the office.
• Assist with copy/scanning projects as needed to support the legal support services and administrative operations team. 
• Cleaning, tidying and organizing copy rooms/shared work areas and all kitchen areas within the firm.
• Emptying recycling and shredding bins
• Refilling paper in copiers and fax machines
• Providing back-up front desk/reception coverage to include answer phones, greeting guests and beverage service. 
• Set-up for attorney/staff meetings with or without lunches; distribute menus, order lunches; set up conference rooms w/beverage services for client meetings/mediations, etc.

Experience

• 1-3 years of administrative and/or office support type roles.  
• Experience in a private law firm and/or professional services environment preferred.
