Core Objectives

  • Attorney Assistance. Provide support to attorneys in the Family Law Department.
  • Client Experience. Execute and meet project deadlines to support the client experience in the Family Law Department. 
  • Firm Initiatives. Supports Firm initiatives by providing assistance with tasks and projects to other Paralegals. Execute other projects as directed by your Supervisor.

Attorney Assistance:

  • Track litigation process and assist with management of case.
  • Track case deadlines, reminders, and other necessary dates with tickle system.
  • Prepare first drafts of necessary case pleadings.
  • Execute workflow to ensure that incoming and outgoing mail is timely processed and delivered to necessary parties.
  • Assist with case coverage during Attorney absences. Coordinate with other Attorneys to provide assistance to clients and outside counsel.
  • Provide support to attorney for their marketing, CLE, professional and bar-related committees work and activities.

Client Experience:

  • Execute the intake workflow for potential new clients by phone and/or email to schedule them for a consultation with the appropriate attorney, including conflict check and entry; tracking down previous consult forms and resolve questionable conflict issues; inform potential clients if Firm cannot represent; and promptly scan attorney consultation notes and save to Zola Suite Lead. 
  • Execute workflow to open new client files.
  • Maintain digital client files to include ensuring matter contacts are up to date.
  • Maintain working knowledge of the client file. 
  • Provide information to clients (verbally and in writing) regarding status, track pending matters and documents. Provide information regarding procedures and explain processes.
  • Meet with clients to review and sign documents as needed.
  • Work directly with clients to complete necessary case-related forms and pleadings.
  • Assist clients by troubleshooting questions/problems when Attorney unavailable.
  • Take client phone calls, listen, and provide procedural information (gatekeeper duties).
  • Schedule office and telephone appointments with attorneys.

Firm Initiatives:

  • Provide coverage for other Paralegals during absences or overloads.
  • Miscellaneous related tasks/projects as assigned by the Director Legal Support Services & Development or Leadership or Management Team.
  • Support other department staff to ensure that all goals and objectives are met in a timely manner.
  • Enter time into billing system, as appropriate.
  • Participate, when appropriate or necessary, in internal education opportunities, developmental trainings, and department meetings.

Requirements

Experience:

  • 3-5 years assisting attorneys practicing Oregon and/or Washington Family Law.
  • Position prefers, but does not require, a bachelor’s degree. 
  • Preference will be given to a candidate with experience in a private law firm.

Necessary Knowledge, Skills & Abilities:

  • Knowledge of local and state filing rules, procedures, and terminology.
  • Ability to exercise and maintain a high level of confidentiality, discretion, judgment, and professionalism.
  • Dedicated, positive, committed team player, but with ability to work independently as well.
  • Must be detail-oriented, able to think critically and set high standards for accuracy in a high-volume, fast-paced environment
  • Ability to proofread and edit spelling, punctuation, grammar and required language (content).
  • Strong interpersonal, organizational, analytical, decision-making, and problem-solving skills are required with adaptability and the ability to change plans as needed. 
  • Possess effective and professional communication abilities, both verbally and in writing, in order to accurately and efficiently execute projects.

  • Use program timers to accurate track time spent on project and enter time into billing system each day.

Requirements

Experience:

  • Bachelor’s degree in business administration, communications, or a related field.
  • Minimum of 5 years of Family Law experience with demonstration of necessary knowledge, skills and abilities.

Necessary Knowledge, Skills & Abilities: 

  • Demonstrated ability to proactively and independently anticipate and attend to case needs and coordinate workflow with Attorneys and/or other team members.
  • Experience which enables independent assessment of, and contribution to, the development of case strategy, including working independently and proactively come up with strategic moves and anticipation of next steps. 
  • Specialized knowledge related to division of assets (real property, retirement, investments, stocks, life insurance, business formation documents, trust and estate documents, etc.) and the tax implications thereof.
  • Experience reading and interpreting tax returns, K1s, and other asset statements.
  • Knowledge of, and experience with, all stages of family law litigation and case-specific court processes and procedures, including local and state rules and terminology.
  • Ability to adhere to established processes and procedures to collect, store, and maintain organized digital case files.
  • Ability to exercise and maintain a high level of confidentiality, discretion, judgment, and professionalism.

  • Work directly with your Supervisor, along with collaborating with others, to complete assigned projects and meet the assigned      deadline(s).
  • Follow internal procedures and processes to complete assigned projects and meet deadlines. 
  • Accurately process electronic and paper documents (case discovery), which includes reviewing, organizing, and indexing documents and evidence related to a case into the Firm’s e-discovery platform.
  • Providing discovery-related assistance including starting pleadings and other documents.
  • Providing assistance in preparation for trials, mediations and settlement conferences.
  • Assist team members with preparing files to be closed, prepare post-judgment or post-agreement checklists for clients and      Attorneys, including but not limited to preserving discovery in e-discovery platform and archiving of file.
  • Conduct research and pull statutes and rules.
  • Conduct research using various platforms to locate potential assets or information (real property TRIOs, Secretary of State business searches, on-line searches, prior criminal and civil case histories, etc.)

Client Experience:

  • Maintain working knowledge of the status of discovery.

  • High Quality Legal Work: Play an active role in managing assigned matters, producing timely and well-reasoned work product, while advancing cases efficiently in collaboration with partners, senior attorneys, paralegals, and staff.  Responsible for all substantive aspects of family law cases, including client counseling, discovery, motion practice, negotiation, mediation, and court appearances, with increasing independence as experience and demonstrated competence allow.

  • Manage family law matters by supporting senior attorneys handling more complex cases and by managing your own caseload as appropriate to your experience level.  
  • Manage deadlines while following court rules and ethical obligations.   
  • Develop case strategy independently and in collaboration with partners and senior attorneys as appropriate depending on experience level. 
  • Conduct legal research and prepare memoranda on family law issues. Draft, review, and file pleadings, motions, declarations and settlement documents. 
  • Review and analyze discovery materials, including financial documents. 
  • Prepare clients for and participate in each stage of a family law case, including depositions, mediation, hearings, and trial. 
  • Communicate effectively with opposing counsel, court personnel, and other professionals. 
  • Work collaboratively with internal professionals such as paralegals and staff to manage cases efficiently and support firm operations. 
  • Accurately record billable time and comply with firm billing and administrative practices. 
  • Comply with all legal standards and regulations consistent with firm procedures and policies related to case management and firm administration. 
  • Attend business development and networking functions with firm leadership and solo.  

Requirements

Experience:

  • At least 4 years’ experience practicing Family Law in Oregon.

Necessary Knowledge, Skills & Abilities: 

  • Demonstrated knowledge and experience handling a heavy case load involving custody and parenting time, property division, spousal and child support. 
  • Deposition, mediation and trial experience in family law matters, or have other meaningful litigation experience.  
  • Must have an active Oregon State Bar membership. Washington State Bar membership, a plus.  
  • Must possess excellent verbal and written communication skills.  
  • Must be able to demonstrate experience providing exceptional client service, including the ability to build rapport with clients.  
  • Must possess a growth mindset with outstanding analytical ability and research and writing skills.  
  • Demonstrated interest in being part of an enthusiastic team who shares a commitment to firm and practice development, with the goal of providing clients with top-notch service.

Summary:

Our mission is to set the gold standard of service, satisfaction and outcomes for all clients. From the first impression call, throughout the course of the case, to closing the matter, the Client Services Manager plays an important role in ensuring that all GM clients receive consistent top-level service from everyone in the firm. 

Core Objectives:

  • Client Experience: Shape potential client’s initial impression of the firm by delivering a welcoming and reassuring first interaction and ensure smooth gathering of critical details. 
  • Intake: Gather accurate information, perform conflict checks, and then schedule a consultation or assign scheduling to the Paralegal team. 
  • Reporting & Statistics Data Preparation: Manage Lead flow, CRM data integrity, in consultation with the Director of Operations.
  • Client Communication & Feedback: Work in conjunction with the Director of Operations on the build out and evolution of our client communication and feedback tool to include project management of the process and collection and reporting of data.

Intake:

  • Speak with potential clients by telephone to assist them with completing an intake form. Accurately record all information provided.
  • Run a conflict check and report any findings.
  • When the Intake Coordinator team is unavailable, build Leads in the practice management system’s CRM.

Staff Oversight:

  • Create a supportive and motivating environment for the remote Intake Coordinator team.
  • Maintain communication throughout the day to address questions and atypical situations.
  • Provide mentorship and guidance to encourage continued focus on the role of client service within the firm and the continued evolution and growth of the team.

Maintain referral and client statistics data:

  • Tag and categorize Leads.
  • Review Lead data to ensure it is accurate and produce periodic reports to the Director of Operations.

Assess and distribute potential client inquiries to Paralegals:

  • Create, deliver, and maintain attorney availability surveys.
  • Review intake resources to determine consultation scheduling assignments.

Maintain follow-up services and projects for all referral sources and new clients:

  • Create reports on referral sources and deliver them to Attorneys.
  • Prepare potential client survey data.

Requirements

Experience:

Bachelor’s degree is preferred but not required.

Minimum of 2 years’ experience in a professional service or sales environment. 

Necessary Knowledge, Skills and Abilities:

  • Professional, warm and courteous manner in person, on the phone and over email.
  • Ability to exercise a high level of confidentiality, discretion, judgment and professionalism.
